How to make a quote step by step

A good quote helps you close more jobs: it's clear, detailed and builds trust. Follow these steps to get it right.

1. Identify your company and the client

Include your contact details and the client's. A logo and a polished design help make a good first impression.

2. Number the quote

Just like with invoices, it's a good idea to keep sequential numbering so you can track your sent quotes in an organised way.

3. Detail the work, quantity and price

Be specific in the description of each item: the clearer the price includes, the fewer misunderstandings later.

4. State VAT and the total

Apply the correct VAT rate to each item. If you are unsure, see how to calculate VAT.

5. Set validity and terms

State the date until which the quote is valid, plus payment or delivery terms, to avoid surprises if the client takes time to respond.

6. Send it and follow up

Download it as PDF or Excel and send it by email. If accepted, that same quote becomes the basis for your later invoice. You can create it for free with PreFactur.
